I think there are crossed wires and our mistake was much less severe than the other incident. But because we were in there they accused us of leaving the mess or something. And because we had been in trouble with them earlier in the week, they thought we were completely disrespecting them or something by causing problems on multiple occasions. Henry didn't seem too interested in our apology after I told him we weren't in there on the weekend and that James had sorted out stuff on Tuesday.

Dear John

Thank you for your speedy reply. I am glad that you have already made a verbal apology to those concerned. There was a non-student booking G1, I needed you to confirm that you did not use the room. We will follow this up with the department to make sure they understand that you did not use the room and are not responsible for the state it was left in.

In future please make sure that you are careful when using rooms to not overrun and leave the room in the state you found it. If there is a serious issue in the future we will temporarily suspend your booking rights.

Dear Henry,

Our meeting over the weekend was in RSM LT 2.28. I did see an event being held in RSM G1 as I left on Saturday, but I am not sure who that was - certainly it was not the Christian Union.

Regarding the events during the week, I have been told that we were spoken to on Tuesday regarding overrunning after we were a couple of minutes late getting everyone and everything out of the room, and a verbal apology was made at the time, and that person told me that they made sure we did not stay in the room beyond 2pm sharp for the rest of our events there last week. However we will be able to provide you with a written apology for overrunning shortly, and are genuinely sorry for any  part we may have played in upsetting the department.

The second complaint is regarding the furniture in G.01 being left in an unusable state after the weekend. Could you please confirm whether or not you used G.01 over the weekend. If you did then please include this in your apology. Otherwise we will respond to the allegation on your behalf.

First let me apologise for any inconvenience caused to you over this incident. We are working on preparing an apology, but it would be helpful if you could provide details of the complaints you received - which days the offence occurred, for example - so that we can reflect on the incident and make sure that this does not happen again.

Second, although we did have a meeting in RSM at the weekend, I do not understand how this is relevant to the complaints about the usage during the week, and if you could explain the connection that would be greatly appreciated.

We have had complaints of you overrunning your room bookings in G01 affecting the teaching and lectures of students in the department. Can you please write an apology addressed to the Materials students and lecturers for the impact caused by your sessions over running.

Please be aware that your misuse of rooms effects all students groups and this department are threatening to revoke the union ability to book rooms.

Can you please confirm whether you were using a room last weekend?
